We are looking for a Financial Administrator, who has strong leadership skills to join our Finance team!
Reporting to the Director of Accounting and Contracts, as the Financial Administrator you would be responsible for supporting the general operations of the accounting department including month-end close, annual budget, financial audits, and preparation of financial reports for management.
You are a skilled and proactive individual with a keen attention to detail and sound knowledge of GAAP. As the Financial Administrator you will work in collaboration with the Finance team and members of other departments to support Managers. In this position you will bring your strong leadership skills to provide supervision and leadership to other departmental staff.
Key Roles and Responsibilities Include:
1. Supervise staff by performing duties such as assigning work, providing feedback and evaluation, determining training requirements, orienting new staff, and maintaining timekeeping and attendance records. Resolves staffing issues or concerns.
2. Oversee accounting operations including the preparation and review of journal entries, accounts payable, accounts receivable and fixed assets.
3. Supervise the month-end accounting process for Core Programs and Operational areas.
4. Perform bank reconciliation and oversee petty cash functions.
5. Oversee the annual internal vendor audit process.
6. Assist with budget preparation by collecting, analyzing, and consolidating financial data.
7. Coordinate the preparation of account schedules and balance sheet reconciliation for financial audit. Prepare journal entries as required.
8. Supervise corporate credit card program to ensure policy compliance.
9. Preparation of GST return on a monthly basis.
10. Help to prepare and submit regular claims, forecasts, and statistical reports to funders (monthly and/or quarterly) and management.
11. Develop and maintain data tracking mechanisms such as databases and record keeping systems.
12. Collaborates with payroll to analyze salary budgets for Employment Programs and provides meaningful variance reports for leaders.
13. Investigate and resolve problems related to contract and budget administration in accordance with established policy. Consult with Management as needed.
14. Respond to inquiries from customers and stakeholders (including Open Door Group staff and clients, referral sources, employers, and funders) and provide information regarding the status of applications, individual contracts, and subsidies.
15. Monitor contracts and budgets through to expiration or end of fiscal period by performing duties such as regular monitoring expenditures against budgets, conducting internal and external financial reviews to check for compliance with terms, identifying anomalies and discrepancies, and recommending solutions and options to management. 16. Prepare special reports for management and department heads by collecting, analyzing, and summarizing information and trends.
17. Provide backup support for the Financial Analyst
18. Perform other related duties as assigned.
