The Student Services Assistant and Receptionist provides administrative support to Student Services programs and activities, serves as the Booth UC cashier for payments, and functions as the main Booth UC reception service for general inquiries.
SUPERVISORY FUNCTIONS: Casual student staff
ESSENTIAL FUNCTIONS OF THE JOB/ROLES AND RESPONSIBILITIES:
· Provide administrative support for Student Services programs and department functions:
1. Provide Accessibility Services Administrative support in cooperation with the Academic Learning Centre Coordinator:
o Post Approved Academic Accommodations received from ALC Coordinator to student information system
o Communicate with students and instructors as directed by the ALC Coordinator concerning approved academic accommodations for students with disabilities
o Coordinate Volunteer Note Taker services, including recruiting volunteer note takers, receiving and distributing classroom notes
o Send requests for alternate format textbooks to the MB government
o Make arrangements for exam invigilation for Accessibility students
o Handle confidential information appropriately
2. Coordinate student services in cooperation with Student Services Coordinator. This includes collecting, compiling, and communicating information relevant to:
o Student employment and volunteer opportunities
o Housing information, rental openings, homestay opportunities etc.
o Financial awards and bursaries available to Booth UC students
o Communication and administrative support for campus events
3. Assist the Student Services Coordinator with tasks related to Orientation:
o Prepare lesson materials relevant to position for Booth 100 Orientation course and update twice each year
o Communication and administrative support for Orientation events
o Assist students with start-of-term details such as Student ID cards, keys/ fobs, bus passes, class schedules and the like
4. Assist with Student Services tasks related to Convocation:
o Communicate with grads regarding upcoming events
o Collect grad response forms and track participation numbers for grad events
o Coordinate grad photo schedule with photographer
o Organize and distribute grad regalia for students
o Coordinate mails of invitations and other items being sent to grads
5. Coordinate information and communication needs of the Student Services unit
o Provide front-line information on Booth UC programs and services
o Cooperate with Student Services Coordinator to ensure currency of information related to student programs and services on different media platforms; e.g. web site, social media, Populi, information brochures, etc.
o Promote student programs and services as directed by the Student Services Coordinator or Dean of Students
6. Coordinate functions of Booth UC merchandise store
o Keep accurate records of inventory
o Initiate ordering of new merchandise as required
o Create simple promotional campaigns to increase sales
o Keep record of sales and work with finance manager to account for financial transactions
7. Serve as Student Services payroll timekeeper for part-time staff
o Collect hourly time sheets and record bi-weekly in Booth UC payroll system
8. Prepare letters, documents, posters and provide other administrative support as assigned by the Dean of Students
9. Provide administrative support for other meetings, activities, and events as directed by Dean of Students
· Provide general receptionist and information centre service in a welcoming and professional manner:
o Greet and assist visitors, students and employees who inquire at the Waldron Building Front Desk, either by phone or in person, and redirect them to correct destination
o Receive and distribute courier packages
o Maintain security awareness in terms of individuals arriving and leaving the building, alert appropriate authorities in suspected or evident emergency situations
o Maintain an organized and tidy reception area
o Provide training to other administrative staff and part-time student staff who will cover reception desk for breaks and absences (vacation, illness)
· Function as the Booth UC Cashier under supervision of the Finance Manager:
o Receive payment for expenses incurred by students or visitors including tuition, student fees, Hospitality Services guest fees, purchase of Booth UC merchandise, purchase of Peggo transit passes, etc.
o Reconcile cash register float and submit sales records to Financial Services Manager on a daily basis
o Receive school mail and work in cooperation with other administrative staff to sort, date stamp, and distribute items received
· Upon request, assist the Registrar, Hospitality Services, Business office, and other departments as directed by the Dean of Students.
QUALIFICATIONS
1. Required
· Satisfactory criminal record check
· Fully supportive of the integration of faith and learning in a Christian university-level setting and a commitment to the Mission of Booth University College
· Ability to integrate your Christian faith within the workplace
· Post-secondary training of one year or more in office administration and 2 years of related experience (acceptable combination of training and experience will be considered)
· Skilled in computer applications including word processing, spreadsheets, and databases
· Professional personal presentation, a knowledge of customer service principles and practices
· Accurate attention to details and good organizational skills
· Able to communicate professionally and appropriately for different audiences
· Able to maintain confidentiality of sensitive information
· Able to work effectively with limited supervision
2. Assets (Preferred Qualifications)
· Understanding of student retention principles and practices
