Responsibilities:

Accounting Support: 70%

  • Prepare daily journal entries and financial reports that are well written, presented, and communicated to the Executive Director / Executive Coordinator;
  • Coordinate accounts receivable collections, including contacting clients as needed and documenting results;
  • Assist with the maintenance of company and affiliate financial records by using an integrated and state-of-art timesheet and expense software system, ?Unanet" (formerly 'Clearview Infocus');
  • Assist with the preparation of company (and affiliates) payroll, expenses and government remittances (EHT, HST, Payroll, WSIB, etc.) using our payroll program and liaise with other corporate accounting professionals;
  • Assist with the preparation of year end submissions with corporate accountants and T4 preparations;
  • Assist with the preparation of monthly invoices, AR, AP and billing summaries for project managers;
  • Prepare bank reconciliations; and,
  • Responsible for effectively researching, tracking, and resolving accounting problems and discrepancies.

Business Administrative Support: 30%

  • Reception duties include answering and directing incoming phone calls, handling couriers, opening and distributing mail, updating data bases and photocopying as well as assist with general office tasks;
  • Assist HR coordinator with new staff orientations, including the coordination of software installations with IT staff, set up of office phone extensions, voicemails and photocopier scan boxes;
  • Assist with partner support, related business development and project management tasks;
  • Maintain client and business contacts in the company's database;
  • Update/add new client information and enter new project numbers and paid invoices into company's database and computer systems.
  • Schedule and attend meetings related to accounting, take minutes and follow through with items discussed as needed;
  • Assist with the preparation of expressions of interest, proposals and final reports in support of engineering project submissions;
  • Assist other staff with general administrative tasks on an as-required basis.

Qualifications and Requirements:

  • Post-Secondary education in a Business Administration/Bookkeeping related field is preferred.
  • Demonstrate proficiency in MSOffice, including Word and Excel. An understanding of ?Unanet? (formerly Clearview Infocus) would be an asset too;
  • At least three (3) years of administration and accounting experience in a private business setting. Experience with a professional service firm would be an asset;
  • Provide three (3) business references (preferably from direct-report supervisors).

  • Ability to effectively multi-task and work in a fast paced, business environment; and,
  • Expected to manage work with minimum supervision.

A competitive compensation package (including, benefits, and annual Fitness Benefit) will be offered to the successful candidate. Remuneration will be based on an annual salary of $55,000 to $60,000 for full-time employment and pro-rated for this part-time position. Further salary adjustments can be provided after the initial year of employment. Finally, a signing bonus will also be paid after a successful six (6) month performance review.
